We're hosting the winter 2019 CoTech gathering at the Star & Shadow Community/Co-Operative Cinema in Newcastle! This is a thread for making communal decisions relating to the details, e.g. dates

Hi all! Venue got back to me with some provisional dates to choose from, so here they are :) sorry they couldn't be sooner, the venue is very popular for community events and this is the earliest they're free!

During October's call a suggestion was made to cater lunch and/or dinner ourselves, using the Star & Shadow kitchen. Of course this will require volunteers, and a point was raised that this might take people away from their working groups

I think that we should order food in so that people can focus on working groups

I have volunteered and I would be happy in a kitchen (any time, really :) but i am also voting "I think we should order food in" with a stronger preference, because I think especially for people who are travelling to Newcastle it's quite a stretch, and if they need to save their energy for the conferency stuff that would be fair enough. Also consider the amount of people required in the kitchen it's got to be a ratio of about, what, 1:4 ? If so, around a quarter of the attenders, it's a lot...

Perhaps we could cover (at least some) food expenses from CoTech Fund? We could set up a separate vote for that... Btw. is there an estimate of how many people are coming?

Reimburse Code-Operative for gathering costs Closed Tue 14 Jan 2020 8:03AM

It was suggested by a few people that we could apply to CoTech for reimbursement on the costs of the gathering

Most of the expenses were covered by the ticket sales and a generous donation of £150.00 from Form & Function (https://www.formandfunction.coop) who couldn't attend the gathering. The remaining amount which we're asking to be refunded is £217.00

The total costs of the gathering came to
£880 venue hire + lunches (star & shadow co-op)
£200 band (expenses - they came up from Leeds but didn't charge us)
£187 booze

If anyone's against this there's no hard feelings, we were expecting to top up anything which ticket sales didn't cover when we agreed to do it
