[AP closed] Money
Decision made on 21/11/22 by Fran Ellis.
This is Fran - Sam is indisposed for a few days and asked me to lend a hand closing some APs in advance of memberships sale this Sunday! This enables people to offer any final comments before the memberships form is created in 2 days' time! So, if you have anything else to add after reading the decision summary, please make your comments before then!
Decision summary:
1) Do we have a two pot system again (Pot 1 fixed costs, Pot 2 donation for everything else)? Yes
2) What is the price? £80 per person for the week. This enables us to still meet our costs if only 130 come, and provides a extra cash to book a field for parking if we need it.
3) Including processing card + platform fee will look like ~ £82.5
4) Is there more than one price? No, It's relatively cheep for a week event.
5) Do we include a food opt in? Yes. £21 kitchen membership passes. One meal per day for the whole week. You are in or out of the kitchen - no paying per day. Everyone who buys a kitchen membership will be assigned a day based on when they said they'll arrive/leave. One team per day. People can switch teams if they need/want to (self organised). Each team gets a budget and a card on Trello where they can start self organising the planning, cooking, serving, cleaning (& probably shopping) for their day.
6) Process for low income price? No low income process.
7) Do we accept additional donation at this stage to cover low income? No. We are asking for money twice: 1. membership 2. dreams pot
8) Dreams fund (Pot 2) - Average donation last year £18.5 - Say this number when it comes to donation? or have recommended donations? or keep it cool and uninfluenced free choice? Keep it cool and free
9) Does price include accommodation or camper van parking? Or car parking?
Beds - no - as last year beds are not included or guarunteed. We will explain that there are some beds and how they will be distriuted is being decided by the community. Join the discussion here [AP link]. We will include questions in the form about where people plan to sleep and this info might help inform the decision.
Parking - yes and no - you have to book a vehicle pass but you don't have to pay for one. This allows us to plan ahead without charging people extra. Are there limited passes? No. Why?
We don't think we can automatically limit them so we would need to keep an eye on purchases manually.
If we did limit them, we need to try and calculate a number pretty sharpish, which would require someone to start mapping out the site now.
We could possibly create more parking space by renting a nearby field for cars and organising a shuttle or drop off point to save space on-site for living and camping. We can build this into the budget.
10) What ages have to pay? 16+

5) Do we include a food opt in? No, Maybe controversial but I'd rather people that want to eat bring food that they've brought and cook food together. Food/ cooking/ eating is an important part of the day and I think we should honor it, rather than have a cooking team that cook for you.

Whats the benefit of selling vs recording? I guess with selling we pre plan how many vans fit vs recording we figure that out afterwards

selling might sliiightly disincentivize vehicle- bringers, even if just by a few ... it would be good to really get an idea of how many vehicles we can fit though, and be as abundant as possible because it can also suck to feel anxiety around vehicle passes being scarce or hard to get

Yeah I think we should sell both van passes and car parking passes, so if you don’t have one you can’t bring a vehicle. It will make planning parking much easier and way less stressful than last year, generate a bit of extra money for dreams, and make ridesharing more likely etc

We will deffo need to sell vehicle passes this year, I can’t remember off the top of my head how many campers we had, but we were overflowing the camp site a fair bit which we should avoid this year.
I think live in vehicles should be ~£15 that should go uncut to the dreams pot. We have to fit all live in on the camp field, they are not allowed down on the parking areas by gate.
Let’s say we have 20 passes, that would be £300 extra for fun stuff.
We would still need to have someone on parking in the field like I did last year, but it would make it much less stressful and possible to locate spots for vans pre event.
We have 50 extra people to accommodate, it’s going to be tight.

I don't think charging £15 would put anyone off. But that is taxing one group, we could just as easily say we deffo need to sell beds or camping plots as these are also limited. I would rather pay a bit more and give a discount to those who car share or use public transport. :)

is there any scenario in which we consider capping membership at 135/140 to reduce potential pressure? still considerably more humans than before. also are we counting children with adult memberships into the 150? likely would still then be 150 humans on the field. thoughts? just because we can go up to 150 doesn't mean we need to be at max adults. that's not an answer to any of your questions but another idea to consider!

Last year we tried to collect info on who would come in vans before the event and people still showed up without notice, which made it much more complicated to park everyone in the camp field (and took up the 2 first days of the burn for me) :)
It’s completely common to sell live in vehicle passes at burns and festivals.
I am a van dweller myself and do not see it as a tax and definitely think passes would be helpful to the situation. But if anyone else I keen on managing parking and the camp field without, be my guest - I’m not doing it again like we did last year :) :)

I'm with you 100% on the vehicle passes, I think they are a necessity. I just don't think we definitely need to sell them. It's common for other events to sell vehicle passes to generate a secondary revenue stream. As I see it our issue is the limited space, not funds. It's a bit of a balance, vehicles, caravans, tents, gazebos and others all take up space and I want as many there as possible, I'm not sure charging a levy for live in vehicles will help our space issue much.

Food seems to be the spicy topic, What i'm thinking/ trying to do is make things more meaningful. Its great when you go to a bbq and take some food then you eat a big buffet of diverse food, rather than turn up for food that was chosen and made by someone else... Also its not going to be a normal week long burn with different number of people on Tuesday to Saturday. Perhaps there's a hybrid system of every other day? or themes for each day e.g. bbq, blender day, food on stick day, oven food day etcetc
If doing it the easier more predictable (boring) way, how much to ask for opt in? £10, £12, £15
And, a blanket £ for all days or choose no. days, then form calculates per day for you?

I like Fran's idea of daily combo 1x potluck for anyone who wants to participate and 1x organised larger meal around dinner time. I found the meals last time quite meaningful, don't think that was lacking! Loved sitting along huge tables with loads of people. It is IMO a nice and unusual feature of that venue that it has such a large covered dining spcae so we actually can more or less all sit together (although it will be tighter this year). Anyone who wants to contribute to choosing what is eaten can join a kitchen team? A lot of people hate cooking / are unable to do so for various reasons and contribute in other ways. Also I quite like sometimes having meals chosen for me, one less thing to think about ;]
I think there is something to be said for the "boring" way (which quite a few people in this thread have argued for!) - it is a small kitchen on-site and the approach supports loads of things listed on this thread by various peeps - public transport travellers, those with additional needs, those on shifts/doing serious stuff, is good for harm reduction, and on a very distributed site in potentially cold and wet weather brings people together under shelter at the same time. It also centralises food aquisition -> bulk buying which is cheaper and more environmentally friendly.
Numbers / costing - a bit trickier. but I don't think we need to sort this at the same time as the initial membership? We can start initial membership process and get this off the ground later?

Aren't we there Tues to Tues? If so, 7 dinners £3 per meal = £21. Total bargain. I say let's include kitchen memberships in the main sale. You are in or you're out for £21, no choosing the number of days otherwise people will keep changing their minds and it creates admin. If there's leftover dinner, we can add it to the potluck lunch. I will take responsibility for dinners so so we can include kitchen memberships in main sale

How about potluck lunch everyday and an organized dinner?
£3 per person per meal would be good. I did £3.75 per person at MB but that also got us breakfast bar tea coffee

I'm happy to do food shop on route. I have good contacts at Glasgow wholesale Fruit and Veg and Booker in Dumfries.

I agree with what others have said about food, I think we need a kitchen lead to take on meal planning and overseeing, and then everyone who wants to be involved does at least one kitchen shift. Asking people to bring all their own food makes it very tricky for people coming by public transport etc.
I also think we really need to sell parking passes and van passes to ensure we have enough space for all the vehicles. We were pretty much at capacity vehicle wise last year and if we are planning on selling 50mph memberships this could become a problem.
