Dropbox accounts
To date there have been some Jeder memebrs who have been signed up for a drop box account on the Jeder organisational account that has been paid for from the admin bucket. Not everyone who had a subscription were aware of this, and many have not been used. Our annual subscription is due in June. I would like to propose that whoever has an account that wants to exit does this by the end of May and that from June any dropbox fees are drawn from the individual's class /buckett. I will send out an email to the people who currently are on the Jeder account. Queries/comments here please and votes in the proposal.

Hi Kerry, Some clarification please as I was of the understanding that Dropbox was part of the Admin fees that we pay,
Also has there ever been a decision as a collective regarding Google Drive. This was part of the Hunter Gathering that Google Drive was a 12 month trial.
For me I still use Jeder Dropbox but I also have my own that I pay for.

I was under the same impression re: dropbox and admin fees. I currently use both dropbox and g-suite. I also have my own personal dropbox too. So my question would be what would be the impact of no longer having a Jeder dropbox account.

The impact for admin budget is less cost (budget is still in deficit atm). If we decide to go with it, then we need to make sure that we include all members who use it, as some people already pay for theirs personally (for Jeder work). People have to work out for themselve any impact to them individually. For me there is none as I dont use it.

Thanks for the clarification. Have we looked at the Not for Profit rate for dropbox as this may be a more economical option for all members? I'm happy to follow it up if no one else has.

Hi Rachael-only 13 members have ever been given access to dropbox and it costs about $2500 a year. It is an issue in that it is relatively expensive and it is not equitable that only some people have access. We are looking at how we might be able to reduce admin costs.

$2500 per year for a complete online storage system is not that expensive in my eyes. Please see comment as to why I also disagreed with the proposal- we have not reviewed the use of our online platforms such as G Suite, Drop Box etc etc.

Hi Jason this is for 13 people-it is not 'complete' , as it has not been offered to everyone and some people currently pay for their own subscription. The fees increase per user. If everyone was paid for from admin at the moment it would be over 5000 per year. The other issue is that it is an annual fee up front, per user, and we have a high staff turnover.

I agree that $2500 per annum is not that pricey, but if we need to make a decision, can we review if Gsuite is suitable to our needs.???

The proposal is not about whether we choose to use GSuite or Dropbox. It is about who pays for the current subscriptions on the Jeder dropbox account.

Agree with the other questions / concerns. What exactly does the $ cover, or just simply dropbox access for 13 people. Do those 13 people still work / support Jeder?

it covers 12 people and there is also one general admin shared dropbox. Not everyone who has an account uses it. We could offer access to Gsuite (as this is free for not for profits) via Jeder and dropbox as a 'user pays' option.

I agree - GSuite for me, too! Although, I would like to be able to send files to those using Dropbox - example: I'm updating the Unconference website and putting a heap of photos and docs in Dropbox for Leigh - could I still do this by accessing the dedicated admin one? (I might do this twice a year for example OR work with Leigh on other options)

I had Sara try to reinstate my jeder dropbox account just to the shared admin account, but it is not possible to do this without having an organisational dropbox account as well. I think the admin account is automatic for any members on the org account.

Gsuite is free, so there is no issue there. Our admin budget is still in deficit, so technically no. We are looking at ways to decrease admin costs. For 30 members to have access to Jeder Dropbox, it would cost around $6 000. What if we kept the orgnaistional account and people can opt in if they wish . This way they can still access the discounted fees, but the cost is drawn from their class rather than from admin.

At the current rates it is aroiund $15 per month, and @michelledunscombe has offered to look into NFP rates that might be available. (I am not a dropbox admin, so this cannot access this info).

I am in conversation with Dropbox. They have advised there is a 30% discount available for not for profit organisations and I have sent them a copy of our ACNC Registration Certificate to claim the discount. I will report back as soon as I have confirmation.
