Danny needs to leave by 5:00 something right? I'd rather not be pressed for time in that case, so I'd rather just do FA27

As for ensuring members show up, here's what I think would work

  1. Send the weekly as per usual
  2. Send out another email either Friday or Saturday to remind them
  3. I'll text the groupchat
  4. Make a facebook post that Explorchestra will be recording on Saturday in FA27. This will both remind some members and also generate some social activity buzz

Starting next year, we should definitely get the whole orchestra in on one text groupme. Technically, B-engaged has that feature, but it doesn't work because SA

Kevin, is the audio up anywhere? If it isn't, put it up because I'd like to hear it to gauge the quality of it.

We want something good enough to put on soundcloud and stuff, and maybe even something we can sell. Also, our two vocal pieces would be way better

I don't have control over the HQ audio, you have to ask Zack/Mike/Matt/Alan about that.

On a personal level, I'm fine with this recording session. As an eboard member and a representative of the members, I'm not thrilled about it at all. I think making the members commit to spending a lot of their Saturday is not a great scenario right before finals. Since this is the case, I think a lot of members will say that they will not make it, so the recordings would be not great with missing parts. The recordings from the semester show would end up sounding better anyway if this is the case.

Another thing is that many members have been upset with our decisions recently, so we really need to be careful about our future decisions. I've recently realized that I should not make any decisions based on my own personal preference but rather look to the mentality of the members. Honestly, most of the members don't care at all about having slightly higher quality than the semester. The eboard and the really dedicated members would be the only ones to actually care. I think making members go through with this recording session is a bad move on our part, and it is almost a selfish action.

Thinking about it, I definitely strongly agree that we need to show our members enough respect to not take their time for granted. However, I also think there are a good amount of them who would like to do this. I would say ask people whether or not they "can" do it as opposed to "can't", and have them explicitly respond by email. Also, if we were to ask that, we should explicitly say something like "we understand that your time is valuable"

Something to think about, if we don't do recording on Saturday, we can have the Explo party then.

I was thinking that we could keep the party on Friday night and have the eboard meeting Saturday, but that's really more because I have to leave Sunday.

So at what point would we make the call to do it or not? How many people would have to agree to it for it to be worth it?

I would say if we're missing crucial instruments, we may as well not do it (so things like trombone, flute, percussion, etc). But also people may feel left out if they can't make it on Saturday but we record anyway.

What I feel most concerned with is how the members feel about Explorchestra and the Eboard rather than the actual recording. Personally, I don't feel an urgent need to record. But I want to avoid the thing we did with ballroom in which we sent out a call and then members never heard about that ever again. My feeling is that we should at least let the members decide if they want to do it.

I think it's better to go through with it with the members who are willing to record, even if that means losing crucial instruments, as long as we still have an adequate representation of the sections and percussion and Mike. But more importantly, I've thought about it some and I don't think it's necessary enough for us to go through with recording. In hindsight, I think recording during our dress rehearsal would've been a good idea. Now it's just really late into the semester and our members shouldn't have this thrown on them because they already have their own shit to deal with, like studying for finals, writing papers, figuring out how they're getting a ride home, et cetera.

So, here's something that happened that changed my mind from "send an email to find out if people want to do it" to "not do it."

I definitely want to ask the members if they're up for doing this instead of asking them if they can't, but I very sincerely doubt we will get enough people to satisfactorily do the recording to merit the time. Also, if we did it but a few instrumentalists opted out, they would feel bad. So I don't feel like we'll do this anyway, but asking them for permission would also make it so that their weekend plans would kind of be in limbo (for those who say yes)m and I think it always hurts our credibility a little bit when we make the call for an event and don't go through.

So I vote in tomorrow's email to just call recording off. I would like to explicitly say that it is because we respect the members' time (because we do), and thank them for all the work they've already done for us.

Yup, I agree with this course of action. "Explonations," basically, only it'll be in the body of the email.

So I'll explain that and also tell them about the party Friday. Anything else?

And one more thing - can we consider having the eboard meeting on Saturday during the time we would have recorded stuff? I really want to go home Sunday morning...

Aside from the party and explaining why we aren't recording, I would just thank them for their time and effort, and express that we're incredibly excited to see them again in the Spring

Yeah we can meet Saturday
