Balancing new member flow with our capacity levels.

Dear fellow members, I have committed to coordinating and hosting an initial gathering of interested members to discuss the potential risks when there is an imbalance between new member inflow and our capacity levels to provide adequate support to new members. I would like to invite all interested members to our Risk Jedi meeting on 16.06.2021 at 3.30 pm - the meeting will focus only on this subject and we'll consider creating a 'jedlette' if need be. I'm thinking capacity of available time to allocate towards supporting new members while attending to our work commitments without hindering quality of services. Ideally, exponential growth would equal carrying capacity.

Hi everyone, it was nice to have  Margaret, Cristina, Katrina, Lynn, Meredith, Vic, Jason, Michaela, Kate and Freya at our special edition risk Jedi yesterday. The conversation flowed nicely with lots of valuable contributions from everyone. We learned, that despite the concerns about the imbalance of Capacity vs workload that we are paying close attention to the potential risks associated with:

We are onboarding new members but we have a shortfall in Coaches.

Are we taking on too many referrals and not having the capacity to manage them all?

What plans do we need in the future to manage?

What do we do when members leave suddenly?

Should there be paid roles when others need to cover other members workloads?

Opportunities for all members to express an interest in becoming a coach?

...

We also learned that these matters are being addressed across several groups and Jedis (Risk, Don't be a P$%*ck, bored...) and that we are conscious of risks associated with 1. Onboarding new members - with 'the stuff', 2. Member work overload and 3. Organisational readiness/capacity to competently establish a coaching/teams structure/procedure.

Please feel free to continue the conversation here or join a Jedi to continue the formal discussions and planning about our structure, formation and capability frameworks heading towards the future.

Hi Aleks,

Firstly, all documents created in any Jedi should be sent as an update to the Document Jedlet - they can be created anywhere but the Doc Jedlet holds the register for all docs!

The following documents are being worked on by Kate, Cherish and myself at the Document Jedlet, through the Membership Jedi and will be reported back here to Risk Jedi as we progress:

  • Member invitation (from day dot when someone is considering)

  • What to expect: first 6-12 months of a new member

  • Becoming a Member

  • Governance framework

  • So you've decided...

  • 3 conversations

  • Multiple pathways

  • DBAP policy to be added to onboarding

  • Member well-being and happiness to be added to onboarding

  • (all onboarding and induction docs are updated and insert here)

  • Crisis response strategy/agreement

  • Exit strategy

  • Leaving conversation

This comes on the back on getting the onboarding and induction to a pretty nice place and now we are working on the "bookends" of the membership - I feel we are progressing really well and if anyone wants to join us, they can or they can offer us support and feedback when we report back here to the Risk Jedi! It's been quick a huge task and has some way to go yet!

Thanks Aleks, yes, enough staff and quality staff is a serious challenge. I hope that the way Jeder works with our membership makes a difference and the ongoing improvements we make.

Thanks Aleks, It was interesting to see that our retention rate of members is slightly better than those surveyed in the NDS document. So we are doing something right and I'm sure we will continue to!

To get the ball rolling with the question you asked: myself and Jeder in 5 years;

Jeder - Strong NDIS (CoS, BIS & Therapy), CoBu, Planners, Rovers and Ability Builders teams - all work underpinned by Strengths based practices. Results based accountability processes throughout in order to ensure compliance, best practice and values based quality for the people we serve, including members. - Walking the Talk. Registered as an Aged Care Provider as well. Members all feeling safe to express themselves, we work together through the uncomfortable chaos, embrace emotions, nurture hurts, lean into challenges and strengthen relationships.

Me - back to my usual weight (68kg - only 7kg to go), fit and healthy, in love, having fun and making a difference everyday, however that turns out.
