CoTech Gathering Birmingham - 15-16th June 2022
Following from discussions earlier this year, a thread on Discourse and the most recent General Circle call there is a sense of confidence with going ahead with organising the gathering in June (15-16th) this year! 🎉
John from Code-Operative just sent across the costs that could be covered by the Fund. A proposal follows to spend a total of £750 on upcoming CoTech gathering (£450 venue & £300 refreshments).

Sorry, it seems we are going to go way over budget. Catering was more expensive than anticipated and I wanted to pay the DJs fairly and the venue for the party fell through.
New very generous estimate is 1700 GBP. There isn't really much choice about paying this. It's just how much things cost so I don't think a new proposal is appropriate right now.

In June this year we held a gathering in Birmingham (this thread and more on wiki). It was splendid, many thanks to our dear organisers!
Ahead of the event we passed a proposal with allowance of £750 to cover the costs of venue hire and refreshments.
From the user perspective, Birmingham gathering was serviced by Warehouse Café co-op. In fact, however, we were renting the meeting rooms and the garden space from Friends of the Earth Birmingham, owners of the property. Not fully aware of the implications, we were using the space of both organisations at the same time (moving between sessions, working in groups etc.)
It was originally estimated that the venue hire will cost £450. This amounted to £660. On top of this there were minor additional stationary and refreshment costs (access to tea & coffee making facilities), bringing the cost of the hire from Friends of the Earth to £720.60. The invoice was issued in July an paid by CoTech Fund in due course.
During the gathering it was brought up that a separate invoice from Warehouse co-op, who operate the café in the building, was to be sent us, though the final cost was not specified. Warehouse co-op served delicious lunches on both days to all the gathering attendees. What the organising team did not anticipate at the time was the potential cost of this, including the fact that Warehouse co-op will also bill CoTech for using the café space on both days of the gathering. The invoice from Warehouse co-op amounted to a total of £1,140.00 - invoice attached.
Combined with the first invoice the total cost of the gathering was nearly 2.5 times the original budget. The invoice from Warehouse co-op was waiting to be paid. The treasurer of CoTech Fund suggested to organisers of the gathering to make a separate proposal on Loomio to validate paying for the invoice, using this as an opportunity to describe what happened. The proposal that followed did not attract much of CoTech members' attention so Code-operative fronted the cost of the invoice to get Warehouse co-op paid.
The question now is whether Code-operative can now be reimbursed for the money they paid to Warehouse Café co-op.
John from Code-operative and Leo from Autonomic did not received a great deal of support in organising the gathering in Birmingham and were both very busy with their ongoing co-op commitments. They tried their best to deliver a great gathering experience which indeed happened. They had not managed to secure a full clarity on the costs associated with the event before the gathering took place. After several conversations amongst CoTech treasury team (Chris Lowis - Go Free Range, Polly Robbins - Outlandish, Szczepan Orlowski - Animorph) we would like to propose reimbursing Code-operative for the extra costs associated with them organising the gathering - £1,140.00.
At the upcoming gathering we would like to draft a wiki page that compiles best practices for organising future gatherings. All suggestions welcome!

I agree Code-operative should be reimbursed. I do question the costs and organisation but looks like that is going to be addressed for future gatherings.

As at attendee it seems very expensive to me, we paid for all of our drinks throughout the two days. I was under the impression the garden space wasn't an additional cost. £720.60 for refreshments we were unaware of and occasional garden use seems very excessive for perhaps 20 of us. It's nice to support the space however £2k for what was received sounds ridiculous. I have voted to abstain however personally I would of more than questioned that cost from Friends of the Earth Birmingham.

I agree that code-operative should be paid, however I'd say it's a little questionable and shady that warehouse hadn't informed of cost and just sent an invoice after the fact.

Sorry I missed the previous discussion around the additional cost meaning Code-Operative had to pay the invoice. Seems crazy that FoE and Warehouse Cafe weren't more open about the costing beforehand, but that can't be put on the team that did an amazing job organising the event. Agree we should reimburse Code-Operative

It was a shame not to have the info beforehand about the costs but we'll know next time. It's hard to juggle work with organising stuff. Despite this, John and Leo organised an event with a nice vibe, location, food - plus intro to coops in Birmingham and the People's Republic of Stirchley to inspire us. Count me in.

I think this is the best we can do given the situation and we (GFR) certainly wouldn't want Code-Op to be out of pocket. On the positive side we learnt a lot from this experience and at the Glasgow gathering wrote up some best practices for how to make gatherings in the future more cost-neutral. I also updated the fund accounts to show that we can cover this shortfall without impacting our ability to fund things next year.

I did not attend but believe those responsible for the error should contribute at least part of the additional cost.

We agree to reimbursing Code-Operative and appreciate them fronting costs.
However, we might not support another proposal of this kind in the future. Hopefully, given the new guidance for organising gatherings, such a situation will not take place again.

I would say 100% yes, some cotech gathering is way better than no cotech gathering. Some of us have only been able to make parts of previous ones and it's been great. —3wc
