Support Request from FOSS4G Perth

FOSS4G Perth have requested support, specifically, the below (see attached doc).


We are seeking:

  • Fiscal sponsorship. Provision of banking, signing contracts (if needed), and taking the financial risk in the event of a shortfall in sponsorship. We will limit this risk by taking a staged approach and making spending decisions based on our success in securing sponsorship. See the attached budget for details.

  • A $3,500 funding commitment. This will help to cover major expenses, including the evening social, registration for core volunteers, and registrations to support a regional Travel Grant Program.

  • Promotional support. Assistance with promoting the event across the community and recognition of sponsors on the OSGeo Oceania website.

Why is this important?

Supporting the community through fiscal sponsorship and so on is our main reason for existence, so we should probably do this for the Perth crew.

What are you asking of people in this proposal?

To consent to supporting the requests from FOSS4G Perth.

I'm all for it. I think OO exists for this reason and I feel comfortable to invest our budgets in these events.

I am fully supportive of this noting the comments made by John to my questions. WRT the TGP and the horrendous internal flight costs atm, it would be good to hear more about the TGP at a later date and if sponsorship can cover the entire any potential loss, how we can look at potentially adding to the TGP for excellent candidates in communities, potential within the nearby Nyoongar nation

Hi, just a quick question or three on option C...

1. On the $3500 funding commitment. Is this the only financial request expected for the board?
2. Of the $3500 funding from Partner Funding/sponsorship, this comes all from corporate sponsorship and past history is showing that this figure should be obtainable? (The table shows "Sponsorship" and "Conference Partner", I assume we are the latter)
3. The key cost is the catering but are not ISPRS handling this as mentioned in the "What is planned". Is there a bit of detail for the catering?
4. There is mention of a TGP. Is there more info on the program please?
Sorry to ask these questions but just trying to get some clarity. Ewen

@Ewen Hill good questions, thanks for asking. Here are some answers,hopefully these help.

1) Yes. We actually expect the total cost to OSGeo Oceania to be less than $3500, because we plan for a surplus to be returned to OO. In our assumed "worst-case" scenario A, we only manage to find $1000 in sponsorship but still return a small surplus, in which case OO's total cost is $3200 ($3500 funding - $300 surplus).

2) Yes, our only expected income (other than the $3500 funding from OO) will be from sponsors. In 2021 we managed to arrange $4400 in sponsorship, and the local uptake of open geospatial has grown significantly since 2021, so we're hopeful we can reach the target in scenario C. Yes, OO is the proposed "Conference Partner", distinct from sponsors.

3) FOSS4G Perth is organising and covering the cost of the evening social event, with FOSS4G Perth and ISPRS attendees invited to join. We plan to have a casual gathering at a local Fremantle venue within walking distance of the conference, with a light feed and perhaps a modest bar tab. How much we actually spend here will depend on our financial position - if it looks like funds will be tight, we'll arrange a smaller capacity venue and keep the refreshments very light. If we manage to gather enough sponsorship, we'll be able to book a larger venue, and make sure there are enough snacks to feed a larger crowd.

4) Our "TGP" will be modest. The idea at this point is to cover the cost of conference registrations ($100 full/$50 student) for those who need a little extra help. Discussions to date have partly focused on encouraging regional (ie ex-Perth) participation but we may also include deserving Perth people in need of support. Details are TBD, but I imagine the process would be something like: we provide guidance on our selection criteria, invite people to apply by date X, and then let applicants know the outcome with ample time to make arrangements.
