Parking, Vans and live in vehicles ****updated****

After speaking to site (24/01) we now believe there may be parking for up to 50 vehicles, especially if we have a parking volunteer making sure people squeeze in.

I also contacted a local visitor attraction (Mabie Farm Park) who have agreed to let us park up to 30 cars there for an undisclosed fee for the duration of the event if we need an overflow. The car park is a 1.5 mile walk from site, and a 2.5 mile drive. However, if we organise car share/pick ups from public transport etc, I imagine 50 vehicles should be enough to transport all members to site?

After much thought, I have a proposal-

  • Anyone wanting to bring a van/ live-in vehicle pays £20 for the guarantee of parking on site. Vans are larger than cars, will take up more space and potentially carry less members, meaning we may need to park cars in an overflow.

  • We try to fit as many cars as possible on site, using parking volunteers to squeeze people in.

  • If we need to use the overflow parking at MFP, we pay for this using the money from the parking permits from live-in vehicles.

  • If the overflow parking is not required, or the full amount of money collected from van permits is not needed, then the remaining money could be redistributed back to the people with vans.

  • I am happy to take the payment via PayPal friends and family with some kind of open record if people are happy to go with this idea? Any other suggestions welcome.

Let’s talk parking and live in vehicles! We are waiting on more information from the venue about on site parking, but it seems that it may be quite limited. It sounds as if overflow parking may be available in a nearby lay-by and a forestry commission car park down the road. We still need to find out if that car park is pay and display. With that in mind, what are your thoughts on the following?

  • how many people are hoping to bring a live in vehicle?

  • How many people have no other vehicle available?

  • How do you feel about prioritising on-site parking for those staying in live-in vehicles so everyone can be on site during the event, with cars using the overflow?

  • If this were the case and the car park is pay and display, potentially as a group we could arrange a daily shuttle to the car park to top up?

  • Do you think we should charge for a live in vehicle pass?

  • If so, how much do you think is a reasonable amount?

  • Should this go straight into pot two? Maybe be used in another way?  (For example, covering possible parking fees of non-live in vehicles in the overspill car park)

  • Any ideas on how payment could be taken for this? We could use the same platform as the membership sales but this would incur Stripe fees.

  • Any other thoughts about parking at all?

(Please poke everyone you know who has a membership and encourage them to take part in these discussions as all decisions made here will affect us all.)

I will need to drive, but not in a live-in vehicle... Being able to drop off things first then parking elsewhere would be my preferred solution (as opposed to meeting a shuttle off-site, trying to cram everything onto it without forgetting anything that's been stuffed in various crevices). Would the overflow car park be within walking distance (ie, max a couple of miles)? Perhaps try to reach out to the owner of the car park to see if they might be able to do a multi-day deal?

This is a good ideas (drop off points). I've emailed the site owner to ask for a contact for the forestry commission car park, to see if we can pay upfront for a few days.

  • I'm planning (hoping) to bring live-in vehicle for 2 humans

  • I think it's a good idea to use the forestry commission car park as overflow if we have to, only issue is that requires people to pay again every day. Obviously a shuttle could work here but it's a logistical activity we could do without. I wonder about getting in touch with the car park people and trying to pre-organise & pay something?

  • I don't have strong feelings about charging for live-in vehicle pass, but using this £££ to top-up POT 2 or pay for the overflow parking both sound like good ideas! Maybe £10-20?

  • If a parking crew form as a result of this AP, perhaps they could collect the cash via personal PayPal/bank transfers? If not the Stripe fee will be lower anyway because it is linked to the amount being paid...but would mean paying another £21 for Typeform for March

  • Will let you all know when I hear back from site

I appreciate this is a slightly different scenario to others but I will be bringing tools, a fair amount, my lively-hood to help with the various build projects which will be going on over the first 2 days and like all builds, have to be completed in as shorter time span as possible to be enjoyed to it's fullest. I'm asking if there is acceptance that I could park my van on-site to help with daily loading and un-loading of these to speed up this process and for safety. (been broken into too many times)

I am happy to contribute to the live-in van pot for this special dispensation and also given the size of my van am happy to offer it as a vehicle for a shuttle service if needed.

Just realised I haven’t actually contributed to this!

  • I will be coming in a live-in vehicle with one other person and have no other vehicle available.

  • I think we should prioritise all parking space on-site for live-in vehicles so that all members stay on site as much as possible for the duration of the burn.

  • I agree we should charge a live-in vehicle fee of (up to?) £20 and use this to cover any parking fees incurred by those none live-in vehicles parking off site.

  • A daily parking top-up for the overflow car park is not ideal, I wonder if we can contact the forestry commission about a long duration parking ticket, or potentially rent a field from a local farmer for the weekend using the money from live in vehicles passes?

I was thinking that this could be a place for a few vans (area in red). It's at the bottom end of the site by the white marque (as of now no specifies use, could be communal eating), The hot tub and sauna (left of marque) and yurt known as "couples yurt" (bottom right).

If there was a camp of vans, they could addopt the yurt as an adoptable space...? Just a thought.

Parking questions I've sent to the site:

  1. What is the absolute maximum number of spaces for van and/or car parking on site? As we have more humans than beds, we expect quite a lot of people to be bringing vans/live-in vehicles

  2. Are there any dead-end roads on-site that we could use to increase van space?

  3. We wonder if we could potentially park all cars off-site and use all parking space on-site for vans. Would this be ok with you? 

  4. If we park all cars off-site, is the Forestry Commission car park our best/only option? Do you have their contact details per chance, as we are wondering if we could pay upfront for the full duration, rather than having to return to pay again every day. A. Cars would be 32 in the parking area down here. Vans would depend on how many and what size they are

Clarity on numbers is proving difficult. Perhaps an alternative way around this is following Sam B's suggestion in a meeting: determine the number of cars and vans we want to bring, and figuring out how/where they can go. Either way, this thread is throwing up a number of tasks we could do with creating a Crew to deal with!

I'll also arrange a call to discuss further, particularly the forestry commission stuff. @Sam Lee I seem to remember seeing a price of £3 p/day parking in forestry commission site in the spreadsheet - did you find that on your site visit?

Are that many folk coming from London? Can we tell short of doing a poll?

Adding pick-up points unless its motorway service stations (which present access issues anyway for many) will get complicated. May be worthwhile if there's enough coming from London who'll organise/pre-commit to a bus though.

The update sounds good to me (disclosure: I do not have a live in vehicle). Though there will be some vehicle Tetris, I think it would mean a lot less overall faffing if all vehicles could be left on site.

I agree! And I’m hoping we can wiggle all of us in with a bit of planning…50 vehicles is enough for pretty much 2 members per vehicle, and surely we can manage that as a minimum?!

I think that cramming cars in / rideshares should be fine, I know I am planning on coming by car with 4 people in total in it, obviously I can't speak for everyone else's travel plans but pushing people to team up seems like it should work?

I'm happy with your proposals - £20 van parking charge, money to pay for any overflow parking at MFP.

Selling live-in van passes will also let us know exactly how many vehicles we're dealing with & help us plan better. May be too much hassle but we could ask folk for info on size of vehicle at the same time.

I would suggest that if live-in vehicle parking pass money is not all spent (likely) rather than faffing about trying to return a proportion of it we just put it into the dreams pot to fund lovely things.

One of the jobs for build I suspect will be sorting out the parking spaces, & mapping/marking off so we know how we need to cram vans/cars in.

Incidentally you didn't mention in meeting about FC car park, is it a no go (need to feed the meter) or can we use it too?

Sorry Allan, you’re quite right!

The FC car park is indeed feed the meter, but the main problem is there are signs saying no overnight parking. I was going to try and contact them to see if we could arrange a longer term parking agreement, but when I mentioned this to site they said it was not a good idea- I think they don’t want to draw attention to the fact that they are booking larger parties in case the FC get a bit nosey which could lead to more restrictions….

That’s why I contacted Mabie Farm Park as a back up overflow.

I don't think you'd have had any luck with the FC or FLS, parking overnight on their sites has been an issue in the past & they're not keen on it. MFP seems a better option & if its only 2.5m its fairly close in any case.

Hey all,

We've now got a more comprehensive questionnaire for everyone bringing a vehicle to Celtic Burn.

Please, if you are the DRIVER (if you're a passenger, hands off) of any vehicle coming to Celtic Burn, could you fill out this questionnaire. We have a limited amount of parking on site and need to know if we'll have enough space for live in vehicles and cars. If not, we have a back up plan with the neighbouring farm, but it needs to be in place before the event starts.

This is a new questionnaire so please complete it, even if you completed the previous survey on Loomio.

It's really important we get a clear picture beforehand of which vehicles will be arriving. There will be a parking team on site, locating the parking spots for arriving vehicles so we use the space best and most efficiently.

So once again, are you driving a vehicle to Celtic Burn? - please fill out this survey.

Does anyone know if the results of the questionnaire will be shared soon? I'd love to get an idea of whether I might be able to be on the main site with my live-in van. I have fairly severe coeliac disease and so have to be incredibly careful with what I eat, making shared cooking and eating pretty challenging...would be a huge help if I can have my lil kitchen with me and not need to leave site to get me meals! Any thoughts/updates would be much appreciated x

I wasn't planning on sharing the 'results' as much as using them to inform what we do. As Sam says live-in vehicles will be prioritised so everyone can stay on site. If necessary we may need to put some non-live in vans & cars at an off-site location, but we're hoping to avoid this.

If you're keen on knowing the details or joining the parking crew (we'll need folk on-site to direct vehicles & get them all parked right & ensure early departures aren't blocked in) check out the trello card 'Handle parking'. If you're particularly interested I give a breakdown of the questionnaire results to date.
